What 115 Polymail Users Told Us (And What’s Changing)

When we sent out our user survey last month, 115 Polymail users responded. Youtold us what you love, what you want fixed, and how you rely on Polymail every single day.

For most, Polymail isn’t just an email app. It’s become a command center for closing deals, managing conversations, and navigating a high-volume workday.

This post lays out what we learned from the survey, what patterns emerged, and how we’re translating that into product updates.

Key Takeaways from the Survey

We asked users to rate their overall satisfaction with Polymail on a scale of 1 to 10. The average came in at 7.1. Here’s the distribution:

  • 33 respondents gave a 7
  • 31 gave an 8
  • 13 rated it a 9 or 10
  • The remaining 26 responses fell between 1 and 6

This puts us on solid ground—but not where we want to be. Our goal is to push above 8.0 across the board, especially with users who rely on Polymail to execute critical workflows.

More than 45 users specifically said they use Polymail “daily,” “all day,” or as their “primary” inbox. These users depend on features like:

  • Read Receipts
  • Unified Inbox for multiple accounts
  • Send Later and Read Later
  • Cross-platform support (Mac, iOS, Web)

The Most Loved Features

'Read Receipts' were the most praised feature in the survey. Over 70% of respondents mentioned using them regularly. Users told us it helps with follow-up, visibility, and timing—especially for outbound sales, recruiting, and fundraising.

'Unified Inbox' also stood out. Managing multiple mailboxes across platforms is a major productivity driver for many respondents. The ability to triage across personal and business accounts in one clean interface is a core reason users stay.

'Send Later' and 'Read Later' were highlighted as features that help users manage the chaos. They let people handle messages on their own schedule—without losing track or feeling overwhelmed.

What Needs to Improve

There were three main areas where users expressed frustration:

  1. Stability on macOS: Several users reported sluggishness, memory issues, or crashes after Polymail had been open for long periods.
  2. Search functionality: This came up consistently. Users want faster, more accurate search results, with relevance tuned for how they actually use email.
  3. Email editor: Copy-paste issues, poor formatting, and inconsistent attachment behavior were flagged. Some users asked for more HTML capability or even markdown support.

Other notable asks included:

  • AI tools for composing, summarizing, and sorting
  • Gesture support on Mac (e.g., inbox swipe actions)
  • Google Calendar and scheduling integrations
  • Better mobile experience parity with desktop

Patterns in Feedback

We saw several themes emerge:

  • Power users want simplicity. Many respondents said they don't use team or comment features. They want speed, reliability, and polish more than collaboration layers.
  • 'Read Receipts' and tracking features are core. These are not nice-to-haves; they’re mission-critical. In fact, multiple users said this is the only reason they haven’t switched.
  • Polymail is replacing Gmail, Apple Mail, and other apps. Several users reported moving away from mainstream tools because Polymail better supports their daily operations.

As one user put it: “A day without Polymail does not exist.”

Another wrote: “I use Polymail every day! I love the scheduling tools and the tracker to see if people have read your email.”

Others added:

  • “Makes email management easier.”
  • “I use Polymail and Sanebox to manage all my email.”
  • “Nothing too out of ordinary email management—and that’s a good thing.”

Behind the Scenes: What We’ve Already Changed

We didn’t wait for the results to come in to start making improvements. Over the past several weeks, we’ve:

  • Expanded our engineering team to increase velocity
  • Upgraded our infrastructure for better performance
  • Streamlined internal workflows to reduce lag between bug reports and fixes

These changes are already helping us ship faster and more confidently. You may not see them all immediately, but you will feel them in the performance of the Polymail email client over time.
